How to View and Edit Timesheet Entries

Keeping track of your work hours is essential for both project management and payroll purposes. This document will guide you on how to view and edit your previously submitted timesheets in the OfficeSeries application. OfficeSeries simplifies this process by providing a user-friendly interface for managing timesheets, allowing you to view and edit your previously submitted time entries directly within the platform.

Employees, contractors, or anyone in the organization who has been assigned a Timesheet license can use the features of the OfficeSeries Timesheet, such as entering project hours, team assignments, reporting, and many others. This guide will walk you through the steps to effectively use the timesheet management features.

Prerequisites

To view and edit your submitted time entries, you must have an active OfficeSeries account with the necessary license and permissions. You need to know your username/email and password. Since it's a web-based time tracking system, you can access it from any device with an internet connection. Use an updated and compatible web browser (e.g., Google Chrome, Mozilla Firefox, Microsoft Edge).

If you have forgotten your OfficeSeries password, you can reset it anytime as long as you have access to your email associated with OfficeSeries. For detailed instructions, refer to the Forgot Password Guide.

When to Use This Guide

When you need to review and edit your previously submitted timesheets in the OfficeSeries application, this guide will help you navigate the process effectively. Whether your timesheets for a week were rejected and you need to correct errors, update hours worked, or add additional notes, this guide will provide you with the necessary steps to manage your time entries accurately.

Note: You can view timesheets at any time. Editing timesheets is only possible when the timesheet is in progress and hasn't been submitted for approval. Once submitted, the timesheet is locked. If a timesheet is rejected by an approver, it will be unlocked and become editable again.

How to View and Edit Timesheets

The following steps is a comprehensive guide on how to get to your previously submitted timesheet, review your entries, edit them, and resubmit them for approval.

Step 1: Access your timesheet

  1. Log in to the OfficeSeries application using your email/username and password.
  2. Click on "Timesheet" from the main menu to go to the "My Timesheet" dashboard.
  3. Click the "View or Edit Timesheet" card.
  4. Click the "View Timesheets" button to see a 52-week overview of your timesheets.

Step 2: Navigate to the Timesheet entries summary table

On the "My Timesheet" page, you will find a detailed table listing all your timesheet entries for a 52-week period.

Check the fields displayed and their descriptions below.

  • View/Edit: A link to view or edit the timesheet entry.
  • Week: The week number for the timesheet entry.
  • Start Date: The start date of the timesheet entry.
  • End Date: The end date of the timesheet entry.
  • Total Hours: The total hours worked during the period.
  • Approval Requested On: The date when approval was requested.
  • Status: The current status of the timesheet entry (e.g., Pending or waiting approval, Approved, or Rejected).
  • Status Updated On: The date when the status was last updated.

Step 3: View or edit a particular week's timesheet entry

Once you are in the timesheet summary table, select the specific week you wish to view or edit.

  • Click on the "Edit" link in the "View/Edit" column next to the week for desired timesheet entry. That will route you to the detailed timesheet entry page. Image Timesheet In Progress
  • Make the necessary changes to the timesheet.
  • Save your changes to update the entry.

Note: You can only edit timesheets that are in progress and have not been submitted for approval. Once a timesheet is submitted, it is locked and cannot be edited unless it is rejected by the approver, at which point it becomes unlocked for editing and necessary corrections.

Step 4: Resubmitting corrected timesheets for approval

  • After making any necessary corrections or updates to your timesheet entries, review them to ensure their accuracy.
  • To resubmit your updated timesheet for approval, click on the "Submit for Approval" button.
  • It's important to verify that all entries are complete and accurate before resubmission to prevent any delays in the approval process.
